Atlas Shift Notes Manual
Introduction: Welcome to Atlas Shift Notes! Below we will guide you through setting up and using Atlas Shift Notes. Enhance your team's communication with categorized notes, accessible both on mobile and desktop.
Adding Shift notes on a daily basis will not only add important context to the previous days service, but is also an important tool for looking back on important services (Christmas, Valentines Day, long weekends, etc.) from the previous year and using the successes and opportunities to make your plans for the upcoming services.

Accessing Past Shift Notes:
- Viewing Notes: you can view past notes in the Atlas Daily Reports. These can be accessed by clicking "View Reports" at the bottom of each days card in the Dashboards week view:
- Once inside of the Daily Report you will find all of the Shift Notes on the right hand side, separated by category. You will also be able to identify when the note was written and which user entered the note.
For Mobile use you will see a "See Shift Notes" button at the bottom of the Daily Report screen. Click this button to view that days shift notes, broken down by category.
Entering Notes on Mobile - single category entry - "on the fly" style of note entry:
This type of note entry is great during service, when you'd like to add a quick note to avoid forgetting to communicate this specific information. Great for 86'd, low stock, Repair and Maintenance issues, staff attendance and punctuality etc.
- Access Shift Notes: Click on 'Shift Notes', then click "Add Shift Notes"
2. Choose Category: choose the category for which you'd like to enter shift notes and click 'Next'
3. Enter Note: input the note (e.g., "Low on wine glasses"), then click 'Add'. You can style the text or arrange it has a bulleted or numbered list by clicking the rich text modifiers at the top of the Note Entry area.
4. Review Entry: Navigate back to notes by clicking "Go back to notes" to view the newly added note, complete with details on who added it and when. Here you will also see any other notes that were entered on the current operating day.
Note: you will see a green checkmark beside the note category for which you just filled out a note for.
Entering Notes - Scenario 2 (End of Night Multiple Categories):
This type of note entry is what the closing manager would typically fill in at the end of the day. The intention here is to communicate details of the days service to those receiving the report. By giving context to the data shared in the Daily Report, adding these notes can give a clear picture of how the service went to everyone who receives the Daily Report the next morning.
- Access and Add: Click 'Shift Notes', then 'Add Shift Notes'.
- Multiple Entries: Add notes across various categories by:
a) selecting the category
b) entering the note
c) clicking 'Next'.
d) clicking the next category you would like to enter notes for
e) entering the note
Repeat for all desired categories.
Note: you will see a green checkmark beside the note category for which you just filled out a note for. To enter another note for a different category, simply click that category and then click "Next". - Once you have entered all of your notes, you will be able to review all of your entries by clicking "Go Back To Notes"
- To edit or delete the note simply click on the 3 vertical dots beside the note, at the top right:
Setting Up Note Categories:
- Using the navigation menu at the centre of the screen when in Dashboard navigate to Operations: Go to 'Manage Categories' under operations.
- Add/Customize Categories: Create new categories or customize existing ones, including adding help text for guidance. To create a new category follow the steps below:
a) add the Title of the New Category (this will be the "name" of the category):
b) add the Helptext for the New Category:
c) save the category by clicking "Add new category"
Now this category will show in the options of the Shift Note categories
Note: you can delete or edit categories from by clicking "Edit Category" or "Remove Category" on the right of each category section.
Advanced Features:
- Add Notes to Previous Days: Enter notes top previous days by selecting the appropriate date and adding your note.
Remember:
- Your notes are not just for immediate recall but serve as a historical reference to aid in future planning.
- The more detailed and informative the notes, the better they serve the entire team.
